Soul Seated Journey is a 501(c)(3) nonprofit pioneering evidence-based pathways to human flourishing by integrating contemplative wisdom, compassion science, and technology-enabled transformative practices for emerging adults. We uniquely bridge Buddhist principles and other wisdom traditions with rigorous research to create a tech-enabled hybrid delivery model that makes profound personal transformation accessible, measurable, and scalable beyond traditional wellness approaches.
The Opportunity
As Operations & Talent Manager, you'll create the foundational systems that enable our organization to scale effectively during a critical growth phase. This pivotal role will support our Executive Director by managing hiring processes, developing operational infrastructure, and establishing foundational HR practices. Your work will directly enable Soul Seated Journey to build its core team and deliver on its mission of creating transformative experiences for emerging adults.
What You'll Do
Hiring Process Management
Manage end-to-end recruitment processes including posting jobs, initial candidate screening, and coordination with hiring managers and advisors
Maintain clear candidate communication, scheduling, and documentation throughout the hiring cycle
Support development of standardized interview processes and evaluation frameworks
Track recruitment metrics and analyze hiring data to optimize recruitment strategies
Ensure compliance with employment laws throughout the hiring process
Operational Systems Development
Develop and document administrative procedures and workflows
Assist in organizing internal systems and knowledge management
Coordinate workspace needs and remote work requirements
Manage vendor and contractor relationships
Support financial administration and expense management using Ramp system
HR Infrastructure Development
Coordinate onboarding processes for new hires and contractors
Help develop foundational HR policies and procedures that will scale with the organization
Maintain personnel records and ensure compliance with employment regulations
Support benefit administration and employee paperwork processes
Track and analyze basic HR metrics to inform hiring and operational decisions
Serve as an initial point of contact for basic employee relations matters

Required Experience
3+ years of administrative, operations, or coordination experience
Strong organizational skills with exceptional attention to detail
Experience managing multiple priorities in fast-paced environments
Proficiency with collaboration tools (Google Workspace, Asana or similar project management tools)
Excellent written and verbal communication skills
Proven ability to work independently and take initiative
Experience supporting hiring or recruitment processes
Highly Desired Experience
Experience in startup, nonprofit, or high-growth environments
Basic knowledge of employment laws and HR compliance requirements
Familiarity with HR administration and best practices
Background in project coordination or management
Experience with financial systems and basic expense management
Experience establishing systems and processes in growing organizations

Compensation & Work Arrangement
Part-time contractor role (15-20 hours/week)
Competitive hourly rate commensurate with experience ($30-45/hour)
Remote position with occasional in-person meetings in the Bay Area (if local)
Flexible scheduling within core business hours (Pacific Time)
